At the Refugee Council of Australia (RCOA) your right to privacy and data security is a primary concern. We have prepared this Privacy Policy to inform you about the type of information we hold about you and how we use this information.

RCOA members

The Refugee Council of Australia collects information from members to forward documentation associated with activities undertaken by the Council.

The specific personal information collected about members includes:

  • Organisation or individual name
  • Contact person
  • Mailing address
  • Home telephone
  • Work telephone
  • Email
  • Information about the members interactions with RCOA

Members are listed by name only in the RCOA Website and in the RCOA Annual Report unless requested otherwise in advance.

RCOA supporters and friends

RCOA collects and stores information about supporters and friends who have donated to RCOA or who have indicated they would like to either volunteer at RCOA or receive up to date information about refugees and people seeking asylum in Australia or overseas, RCOA events, and the RCOA Newsletter. The information collected may include:

  • Mailing address
  • Home telephone
  • Work telephone
  • Email
  • Information about your interactions with us

You may, if you wish, donate or receive general information anonymously. This would need to be in the form of a money order or cash (please do not send cash through the mail).

We will always provide an opportunity to opt-out of direct marketing. If you do not wish to opt-out, just email us at and we will delete your details from relevant lists.

How RCOA collects personal information

RCOA collects personal information directly from individuals as well as from third parties including public sources, individual’s organisation and representatives, and the parties with which RCOA exchanges information as described in this Privacy Policy. For example, we may collect information from your account with a third party service (such as your social media profile) when you use that account to login or connect with us.

Where you provide RCOA with personal information about someone else you must have their consent to provide their personal information to RCOA based on this Privacy Policy.

RCOA website

RCOA collects and stores the following information about visitors to our website via our website server:

  • server address
  • domain name (for example .gov, .au)
  • the date and time of visit
  • the web pages accessed and documents downloaded
  • previous site visited
  • type of browser used

This information is not used to directly identify individuals unless required by law. It is only used to measure the number of visitors to the different parts of the site and to help us make the site more useful to you. As you are not required to enter any personal details in any part of the site you remain anonymous during your visit.

RCOA is not responsible for the privacy practices or content of any site that is linked to its website. Your activity on those sites is covered by the privacy policies of those sites.

We may record your contact details if you contact us. This message could be:

  • feedback on our site – we use this to administer and improve our website
  • subscription to our email group which circulates the RCOA newsletter and up-to-date information about refugees and people seeking asylum, or
  • an inquiry to any of the email addresses listed on the RCOA Website.


For each visitor to our website, our server automatically recognises and stores the visitor’s domain name. In addition, our website uses cookies. To enhance your experience when using our website, these cookies may automatically collect information from you such as pages viewed and donation details if made. This allows us to better understand our users and improve the layout and functionality of our website. This tracking is conducted in such a way to ensure the anonymity of visitors.

To better communicate RCOA’s work, we sometimes embed photos and video content from other websites such as YouTube. Use and disclosure of personal information collected

RCOA collects, uses and discloses personal information to operate its service, process payments and refunds, verify your identity and personal information, maintain and update its records, manage its relationship with you, train and manage personnel and deal with enquiries and disputes. RCOA may not be able to do these things without your personal information.

RCOA may exchange your personal information with your and RCOA’s representatives and with RCOA’s service providers and its partners in co-branded products, services and promotions in which you participate. For example, RCOA may disclose personal information where to banks and financial institutions to process donations or membership payments. RCOA may also exchange personal information to reply to a specific request that you might have or where it is legally required (such as in the investigation of a criminal office or in compliance with a search warrant or subpoena).

Keeping details accurate and up-to-date

Accuracy of information is important to us. After being advised of any change, reasonable steps are taken to ensure that personal details that are recorded at RCOA are updated as soon as practical. To assist us in keeping your information accurate, please advise us if there are any errors or changes in your personal information.

Where we consider it appropriate not to make a requested correction to your personal information and you disagree, you may ask us to make a note of your requested correction with the information.

The RCOA databases and security RCOA holds personal information electronically and in hard copy form, both at RCOA premises and with the assistance of service providers. RCOA implements a range of measures to protect the security of personal information. Depending on the circumstances these include password protection and other data access controls.

We take your privacy concerns seriously. Where you express any concerns that we have interfered with your privacy, we will respond to let you know who will be handling your matter and when you can expect a further response. We may request additional details from you regarding your concerns, and may need to engage or consult with other parties in order to investigate and deal with your issue. We will keep records of your request and any resolution.
